Job Overview

We are looking for a Clinical Operations and Systems Director to join our growing team. In this role, you will lead and optimize clinical and operational workflows, ensuring seamless delivery of care as we scale. You will collaborate closely with clinical, IT, and development teams to implement scalable systems, mentor staff, and drive the achievement of operational and clinical goals. Your focus will be on delivering high-quality care while preparing our organization to expand from supporting thousands to tens of thousands of clients.

Key Responsibilities:

  • Provide strong leadership and guidance to clinical staff, fostering a collaborative and positive team environment.
  • Effectively manage and mentor clinical teams, ensuring optimal performance and professional development.
  • Oversee and optimize clinical workflows, ensuring smooth and efficient operations.
  • Collaborate with various departments to streamline processes and enhance overall efficiency.
  • Implement and monitor quality assurance programs to maintain and improve clinical standards.
  • Conduct regular audits to ensure compliance with regulatory standards and internal policies.
  • Collaborate with healthcare providers, administrators, and other stakeholders to achieve clinical goals.
  • Generate and present regular reports on clinical operations and key performance indicators.
  • Stay informed about changes in healthcare regulations and ensure clinical operations comply with all relevant standards.
  • Work closely with regulatory affairs to maintain compliance and address any issues promptly.
  • Design and implement scalable systems to support the expansion of operational capacity from thousands to tens of thousands of workers.
  • Lead and inspire a team of operations staff, promoting a culture of high performance and continuous improvement.
  • Partner with IT and development teams to deploy automated solutions that enhance operational efficiencies and data management capabilities.
  • Drive the optimization of operational workflows to ensure seamless integration and functionality across multiple departments.
  • Establish robust monitoring systems to track performance metrics and operational health, leveraging data analytics to make informed decisions.
  • Oversee the management of operational resources, including staffing models, technological tools, and budget allocations.
  • Foster strong vendor relationships to ensure the timely procurement of essential operational materials and technologies.
  • Provide strategic leadership in the development and execution of short-term and long-range operational goals.

Qualifications:

  • Proven experience in managing large-scale operational systems, with a preference for backgrounds that include work in highly automated and tiered organizational settings.
  • Experience managing operations for a workforce of 500+.
  • Strong leadership skills with the ability to manage and inspire teams in a high-growth environment.
  • Excellent analytical and problem-solving skills, with a strong emphasis on systems thinking and data-driven decision making.
  • Familiarity with advanced technological solutions, including EHR systems and customer relationship management (CRM) systems.
  • Robust project management skills and the ability to manage multiple projects simultaneously while meeting tight deadlines.
  • Exceptional communication and interpersonal skills, capable of working collaboratively across various departments and with external partners.
  • Knowledge of healthcare industry standards and compliance requirements.
  • Proficiency in modern office and project management tools, such as Google Workspace and advanced data analysis software.
  • Ability to analyze data and implement strategies to enhance clinical performance.
  • Proficient in healthcare management and Google Workspace.

Nice to Haves:

  • Experience in mental health settings or related fields.
  • Additional certifications in healthcare management or operations.
  • Familiarity with the EOS (Entrepreneurial Operating System) framework.

About the interview

HR Screen: The first phase involves an initial screening with HR. During this stage, we will discuss your experience, skills, and alignment with Luna Joy’s values and culture. Second Phase with Hiring Manager: Candidates who pass the HR screen will move on to an interview with the Hiring Manager. Offer Stage: After the second phase, successful candidates will move to the offer stage. We will present a formal offer that includes compensation, benefits, and any additional details about the role. This is also your opportunity to ask any final questions before making your decision.

Onboarding & Training: Once the offer is accepted, the onboarding process begins. You will be guided through setting up tools, learning about Luna Joy’s systems and workflows, and engaging in any role-specific training. This phase ensures a smooth transition into your new role, setting you up for success from day one.

About LunaJoy

LunaJoy is a telemental health platform that is specialized in women's mental health through the lifespan to include adolescence, pregnancy, postpartum, infertility, miscarriage, loss, perimenopause. We combine services including psychotherapy, medication evaluations, nutritional psychiatry, and mind-body interventions under one telehealth roof. We work to integrate directly into OB offices and health systems to access patients where they are already receiving care.
