Shaped is seeking a highly versatile and hands-on Chief of Staff to join our rapidly growing team. We're an AI-powered SaaS company revolutionizing how businesses deliver engaging user experiences through cutting-edge search & recommendations technology. As we scale the company from Series A to beyond, we need an exceptional operator who can wear multiple hats, with a particular focus on leading all recruiting efforts while building other critical business functions from the ground up.
As Chief of Staff, you'll be both a strategic partner to our executive team and the operational backbone of our organization. For the next 12 months, you'll serve as our primary recruiter while managing everything from day-to-day operations to financial operations and team logistics. What you’ll be doing:
Recruiting & Talent Acquisition
- Own end-to-end recruiting process for all roles across our organization
- Develop and implement recruiting strategies to attract top talent
- Build and maintain relationships with external recruiting agencies and talent networks
- Create and optimize recruiting workflows, from job descriptions to offer letters to onboarding
- Conduct initial candidate screening and manage the interview process
- Coordinate with hiring managers to define role requirements and ideal candidate profiles
- Lead candidate experience and employer branding initiatives
Operations & Office Management
- Lead office operations, including securing and managing new office space, purchasing equipment, and maintaining vendor relationships
- Oversee facility management, ensuring a productive work environment for the team
- Manage company-wide logistics, including team offsites, conference attendance, and business travel arrangements
- Handle vendor relationships, bill payments, and basic financial operations
People Operations & HR
- Manage HR operations including payroll, benefits administration, and our HR platform (Rippling)
- Plan and execute team events, offsites, and culture-building initiatives
- Develop and implement HR policies and procedures
- Manage new hire onboarding and employee experience
Financial & Executive Operations
- Support strategic initiatives including quarterly planning and OKR development
- Prepare materials for board meetings, investor updates, and all-hands meetings
- Assist with financial operations, including expense management and basic accounting tasks
- Manage cash flow operations and bank account transfers
What We're Looking For:
Experience:
- 5+ years of professional experience with at least 2 years in recruiting or talent acquisition
- Experience at a fast-growing startup preferred
- Track record of building and implementing operational processes from scratch
Skills & Capabilities:
- Recruiting Excellence: Strong ability to source, evaluate, and close candidates, particularly for technical roles
- Operational Excellence: Exceptional organizational skills with attention to detail and ability to manage multiple priorities
- People Management: Deep understanding of recruiting best practices, HR operations, and building company culture
- Communication: Outstanding written and verbal communication skills, particularly in candidate interactions
- Problem Solving: Ability to tackle ambiguous challenges and create structure where none exists
Nice-to-Have:
- Experience with applicant tracking systems and recruiting tools
- Technical knowledge or background that helps evaluate engineering and science candidates
- Experience with HR platforms (especially Rippling)
- Background in office management or facilities operations
- Knowledge of startup financial operations and accounting
